Terms and Conditions:
The NWMF Advancing Race Equality Awards terms and conditions clearly explain how we process any personal data that we collect from you or that you provide to us. Please read the following information carefully to understand our views and practices regarding the personal data that we hold and how we treat it.

Submission & Deadlines:
NWMF Advancing Race Equality Awards nominations will close on November 30 2024. Any nominations cast after this date will not be considered. NWMF Advancing Race Equality Awards reserve the right to amend these terms and conditions without prior notice.

What do we do with the information we gather?
We gather your personal information to help us process your entry more efficiently. We will also utilise your personal information to keep you updated with the latest news surrounding the Advancing Race Equality Awards shortlist announcement.

By submitting a nomination form, the nominator acknowledges and gives consent on behalf of all persons mentioned on the nomination form to have their details entered on to the NWMF Advancing Race Equality Awards database to contact them via email and/or telephone.

Do we disclose your personal data to third parties?
Nominators: NWMF will not divulge any information relating to the nominator to either the individual nominated or any other party without first obtaining the nominator’s permission. All information will be handled in accordance with GDPR requirements.

Nominees: Details enclosed within individual nominations can be viewed by the nominee, the NWMF and the judging panel only. NWMF will not share details held on behalf of nominees with any other third party.

However NWMF obtains the right to share award winners’ email address with the individual category sponsors and supporting media – with their consent. Entrants for NWMF Advancing Race Equality Awards may be required to participate in press-related activities.

Please note: The NWMF will check with each entrant that they are willing to participate prior to sharing their details with any media however, the NWMF cannot be held accountable for any press/journalists who seek out nominee details of their own accord.

Nomination Process:
The North West Migrant Forum reserves the right to refuse nominations for any reason. The NWMF reserves the right at any time to modify or discontinue, temporarily or permanently, the awards or any feature thereof with or without prior notice due to reasons outside its control including, without limitation, in the case of anticipated, suspected, or actual fraud.

We reserve the right to remove entries and shortlisted nominees for any reason and without notice. The judges will shortlist up to five finalists from each award category and the finalists will be invited to the Advancing Race Equality Awards Ceremony on March 6 2025. All shortlisted entrants, finalists and winners will be notified by email.

NWMF reserves the right to not consider any nominations received from individuals who do not meet the outlined criteria or where there is not enough supporting information within the initial nomination for the judges to make an informed decision about their achievements.

The process after submitting your nomination
Shortlisted nominees will be notified and asked to agree in writing to be on the top ten list and supply:

(a) Further detailed evidence
(b) Fifty words outline for use online and in press
(c) A high-resolution photograph of the nominee

Nominee Agreement:
Should any nominee wish to be withdrawn from the nomination process, they are able to do so at any time by contacting NWMF. Notification must be received in writing by e-mail areawards@nwmf.org.uk or post – The Embassy Building, 3 Strand Road, Derry/Londonderry, BT48 7BH.

Anyone found to be behaving in a manner that is deemed detrimental to other guests at NWMF Advancing Race Equality Awards ceremony will be immediately escorted off site, nomination withdrawn and disqualification will be applied to re-entering future awards.

By virtue of accepting your nomination, you confirm that you are available to attend the 2024 NWMF Advancing Race Equality Awards ceremony on March 6 2025. Any tickets purchased or reserved via invoice within four weeks of the event date are non-refundable.

By virtue of accepting your nomination and by confirming your attendance at the ceremony you irrevocably consent to having the use of your image on any marketing material created by NWMF Advancing Race Equality Awards.

Nomination Assessment Process

A panel of independent judges with proven commitment to advancing race equality will assess the shortlisted nominations and determine the winners.

Judges will award each nominee merits for the following:

  • Quality of nominations received for that particular award category.
  • How strongly their work relates to the award category they have been nominated for.
  • The extent to which the nominee made a difference.

• To what degree was the nominee’s work original and ground-breaking?

• How the nominees work had an effect on others and the degree of leadership shown.

• Evidence provided by the nominee themselves.

Shortlisted nominees will be contacted prior to the ceremony on March 6 2025.
